How does an system admin hibernate a member or mark a member as a non_renewal?

If a member has decided not to renew membership you can update their status to non_renewal so their status on the system is up to date.

What is the difference between hibernating and marking as non_renewal?

When someone is marked as a non_renewal they will no longer get the membership renewal reminders and is expected they will not renew their membership.

If they do not renew then their membership will not be migrated over when a new season is created.

When someone is hibernated they will no longer get the membership renewal reminders and is expected they will not renew their membership this season.

If they do not renew then their membership will still be migrated over when a new season is created. The hibernated use case if for members who may have temporarily left the club (emigrated) but are expected to return.


Hibernate a Member

Option 1: Hibernating all members in a membership

If a membership has 1 member or has multiple members (e.g: a Family) all of which you wish to Hibernate

  1. login to clubzap.com/signin

  2. Go to Membership -> Membership Sales

  3. Search for the Membership you want to hibernate

  4. Click on the name in the Billed To Column to view their profile

  5. Select the Hibernate button and confirm

Option 2: Hibernate an individual member in a membership

  1. login to clubzap.com/signin

  2. Go to Membership -> Members

  3. Search for the Member you want to hibernate

  4. Click on the member name and select the Hibernate button


Mark as Non_Renewal

If a member from last season has decided that they do not wish to renew their membership they can mark themselves as a non_renewal member as detailed here.

This simply means that their membership state on the system transitions from pending_renewal to non_renewal.

They will no longer receive the weekly email reminding them membership is due but can still go back in at any stage via the membership_signup page on the app/website and renew their membership if required.

Alternatively if an administrator on the system would like to update a members status to non_renewal for the coming season they can do so as follows:

Option 1: Marking all members in a membership as non_renewal

If a membership has 1 member or has multiple members (e.g: a Family) all of which you wish to mark as non_renewal:

  1. login to clubzap.com/signin

  2. Go to Membership -> Membership Sales

  3. Search for the Membership you want to mark as non renewal

  4. Click on the name in the Billed To Column to view their profile

  5. Select the Mark as Non Renewal button and confirm

Option 2: Marking an individual member in a membership as non_renewal or a individual members in a family

  1. login to clubzap.com/signin

  2. Go to Membership -> Membership Sales

  3. Search for the Membership you want to mark as non renewal

  4. Click on the name in the Billed To Column to view their profile

  5. Scroll to the bottom of the page and select the Edit button

  6. Locate the member you wish to mark as a non renewal - select the Remove member link below their profile and save the membership which will result in them being marked as non_renewal and no longer appearing in the membership renewal.

    Note: If at any stage the non renewal member wishes to register they can still go to the membership signup section on the website and app and pay which will see them transition from non_renewal to paid.
