In the ClubZap app, the "reason for not going" feature is part of the RSVP system designed to help coaches and team managers track attendance. When a player or parent marks themselves as "Not going" to an event, they can be prompted to provide a reason for their absence.
Here are the details on how this feature works:
Private Feedback: When a player or parent selects "Not going" to a game or practice, they can provide a reason that is visible only to the coach or chat group administrator.
Privacy: This ensures that the specific reason for absence (e.g., illness, personal reasons) remains private between the attendee and the coach, rather than being visible to the whole team.
Purpose: The feature allows coaches to quickly see who is missing and why, making it easier to manage last-minute changes and plan for training or games.
This feature is part of the core functionality aimed at making team communication more organized and less disruptive than traditional group chats.
How to enable the reason for not going feature

When you create a new event for your chat group there is an option in the Advanced Settings section to enable the Require not going reason
When this is enabled (toggled on) it means that anyone invited to this event who responds with a Not Going status will be prompted to give a reason.

What reasons for not going are available to responders
There are currently 4 choices from which a responder can select:
Sick
Injured
Holidays
Other
When the choice Other is selected the responder can write a reason up to a maximum of 50 characters.
How can a coach/group admin view reason for not going responses?
Open the event that was created
In the details section of the event select the Invited link
In the Responded tab the Reason for Not Going will be detailed under the invited members name.

Is the reason for not going visible in the attendance report
Yes, the existing attendance report has been updated to include the reason for not going as seen below.

Can a responder change their reason for not going?
Yes - a responder can open the event and select the Not going response again and this time select a different reason for not going if they wish,
The responder can change their response reason as long as the event is active and accepting responses.
Can a coach customize the reason for not going choice?
No, currently there are 4 reasons available which include
Sick, Injured and Holidays.
The 4th option is Other and this allows the responder to customize their own reason for not attending.
Can the feature be enabled on a per event basis?
Yes, when you create an even you have the option to enable or disable the feature for that particular event. So if you only want to use the feature for game invites and not for training invites this is allowed.
Why am I not seeing a reason for some responders who are not going?
If you are seeing a reason for not going for some invited members and no reason for others who have responded as not going it means these people are not on a version of the app that supports this feature. Version 7.3.0 at a minimum is required so these users will need to update to the latest release.
Can a different reason for not going be added when responding for multiple people?
Yes, if a parent is a coach and has a child in the group or has multiple children in the group they can give a different reason for each of those invited to the event.
