All coaches in sports clubs who work with Children (U18) would need to be Garda Vetted and complete a Child Safeguarding course. In Ireland these certifications last for 3 years for both Vetting and Safeguarding.

The following columns appear on the dashboard:
Member: Name of Coach
Squads: Number of squads this coach is associated with
Required By: Governing body requiring compliance
Compliance Status:
Compliant: All vetting and safeguarding requirements are up to date
1 of 2 Not Compliant: Either the vetting or safeguarding is not compliant
1 expires soon: Either the vetting or safeguarding is due to expire in nthe next 30 days

View: See details of coaches membership profile
Edit: Make changes to coaches membership profile
How do I add a coach to the Coach compliance dashboard?
If a coach has been added to a Squad Report for a team and that Squad report has Governance requirements enabled then that coach will be listed on the Governance dashboard. If a coach is not part of a squad report or is part of a squad report that does not require compliance then that coach will not appear on the the coach compliance list.

Select Reports
Choose the option titled Members Certification Report
This will generate an export file (.csv) with the naming convention (where Bedrock is the club name):

login to dashboard.clubzap.com
Select Governance
Select Coach Compliance
Select option to Import your file (MemberCertificationReport-Bedrock-2026-07-28-13-22-59.csv)

How does the system identify coaches who are close to expiring in regards to vetting and safeguarding?
A threshold of 30 days is set on the system which is used to help identify coaches who are within 30 days or less of having their governance expire. The compliance status will indicate if they are close to expiring - e.g: 1 expires in 30 days

How does a coaches name appear on the Governance dashboard?
If a coach has been added to a Squad Report for a team and that Squad report has Governance requirements enabled then that coach will be listed on the Governance dashboard.
How can I manually change the compliance status of a coach?
On the Coach Compliance dashboard search for your coaches name and click on the Edit button in the Actions menu. Update the Expires On value for the Vetting or Safeguarding.
Note: Only change dates when you are sure the data is valid otherwise the coaches record may be out of synch with the governing bodies records.

How do you know if a synchronization was ever completed?
If there was no import done into the ClubZap system for Governance synchronisation you will see the following status at the top of your page:
No compliance import has been completed for this season. Compliance data may be inaccurate until a compliance CSV has been imported.
How do you know when the last synchronization was completed?
The status at the top of the Governance page will detail how long ago since your last synchronisation. The following shows an import was done on this day ..
Last compliance import completed July 31, 2026 15:51 (0 days ago). Compliance data is based on the latest imported file. Run a new import if registrations or governing body records have changed.

Is Garda Vetting transferrable across different sporting organisations?
In Ireland, Garda vetting is non- transferable to other organisations and Garda Vetting from other organisations cannot be accepted by the Gaelic Games Associations.
The GAA, Camogie Association, Ladies Gaelic Football Association (LGFA), Handball, and Rounders have a joint agreement to accept each other's Garda vetting disclosures. Applications and tracking are managed through the GAA Foireann platform (or relevant association portal).
