If your club has offline yearly sales paid via cash, cheque or Direct Debit, you can import these players into our platform so they coexist with players who purchase lotto online directly via ClubZap. This feature simplifies the management of external members and offline players by ensuring all entries are integrated into the system and searchable online.
Importing your offline lotto sales into ClubZap
Go to dashboard.clubzap.com
Select Lotto
Select Choose File
Click on the file you have prepared with your entries that you want to import
Note: Provided your import was successful you will get a summary of the number of entries that were imported.
If the import fails you will see details of the reason for failure.
What is required to enable the lotto import feature for my club?
The ClubZap support@clubzap.com team will need to activate a Lotto Imports feature to allow your club to begin importing offline entries. IF you see the following message when you visit the Lotto dashboard on ClubZap you will need to ask our support team to activate the feature:
Lotto Imports product missing. Please add an active Lotto product that allows specified amounts before importing.
What information is required in the import file?
The following template file is required for uploading lotto information. Click here to download the file.
Mandatory information:
First Name
Last Name
Draw Count
Numbers: selection choice for the draw in a format such as 1-2-3-4 with a dash separating the number choice.
An Email address OR Phone number is also required.
Optional Information:
Identifier: this field can be left blank
Purchase Date: Date of signup - if unknown use todays date
Purchase Time: Time of signup - if unknown use current time
Amount Paid: Cost of purchase - if unknown set to 10 (Note: This value must be > 5)
Finish Time: Date of expiry - if unknown set it to 1 year from today
For unknown values, use consistent placeholders such as the current date for purchase date and 11:00 for purchase time to maintain uniformity.
Note: If a player has multiple lines they will require a dedicated row in the import file per number choice. For players with recurring entries, ensure each line is entered on a separate row with unique lotto numbers to avoid errors.
What validation checks are completed on the import file?
The ClubZap system will validate all entries in your import file to ensure they are in the correct format and the mandatory fields are present. The system will also check for duplicate numbers in an entry row as well as checking that the numbers selected are with in the range of numbers that can be selected by your club for lotto.
How long before the draw can I import the offline entries?
Every club has a cut off day and time predefined for their next lotto draw. Provided the import is completed before the cut off time then those entries will be in the upcoming draw. If the import is competed after the cut off time the entries will be in the next upcoming draw.
What file format is required for the import file?
The import file must be saved as a .csv format. You can choose the file format when you save the file after preparing it in This can be achieved when you have finished editing the file in excel.
Who can run the lotto import for a club?
Any person with FULL administrator access or FUNDRAISING access privileges can import offline sales for lotto.
